BEFORE YOU ARRIVE
Be Prepared Before the Experience Begins
Before coming to camp, schools and participants should make sure that all important information has been shared with the LightUp Experience team.
Program Information
Programs are designed according to:
• Participants’ ages
• Number of students
• Length of stay
• School objectives
• Group needs and abilities
• Requested activities
• Weather conditions
• Safety considerations
Final program schedules and arrangements will be confirmed with the school before arrival.
Medical & Dietary Information
Schools should provide relevant information regarding:
• Medical conditions
• Food allergies
• Dietary restrictions
• Regular medication
• Activity limitations
• Special educational or support needs
This allows the LightUp Experience team to prepare appropriate meals, activities, accommodation, and safety arrangements.
Transportation & Arrival
Arrival and transportation arrangements should be confirmed in advance.
Depending on the program, LightUp Experience may help coordinate:
• Passenger vans
• Local transportation
• Support vehicles
• Luggage transportation
• Transfers to and from camp or activity locations
Specific arrangements will be confirmed as part of the school’s program plan.
Insurance
Schools and participants are encouraged to have appropriate Travel Insurance and/or Personal Accident Insurance for the duration and nature of the program.
Schools should confirm that their chosen insurance provides suitable coverage for their participants and planned activities.
Thai Culture & Etiquette
Participants should arrive ready to respect Thai culture and the communities they visit.
This includes:
• Dressing appropriately
• Respecting teachers, elders, and community leaders
• Removing shoes where required
• Asking permission before taking photographs
• Avoiding touching another person’s head
• Avoiding pointing with the feet
• Respecting cultural and religious differences
• Keeping community spaces clean
• Avoiding disruptive or excessively loud behavior

DURING YOUR CAMP
Be Safe. Be Respectful. Be Fully Present.
Camp activities are designed to challenge participants while maintaining appropriate safety, supervision, and support.
Follow Safety Instructions
Before activities, LightUp Experience instructors will explain:
• Safety rules
• Correct use of equipment
• Activity boundaries
• Emergency procedures
• Any specific risks associated with the activity
Participants are expected to listen carefully and follow staff instructions at all times.
Activities may be modified, postponed, or cancelled when weather, environmental conditions, participant needs, or other safety considerations require it.
Risk Management
LightUp Experience follows a structured approach when responding to incidents.
Level 1 — Minor Incident
Managed by the team within the activity area.
Level 2 — Moderate Incident
The Camp Director becomes involved and coordinates with responsible school staff and parents or guardians where appropriate.
Level 3 — Serious Incident
Emergency procedures are activated and relevant emergency services are contacted when necessary.
Child Protection & Safeguarding
Everyone involved in a LightUp Experience program is expected to protect the dignity, safety, and wellbeing of children and young people.
Participants, staff, volunteers, and teachers should:
• Treat every child with respect
• Never bully, harass, or humiliate others
• Never physically harm a child
• Maintain appropriate personal boundaries
• Avoid inappropriate one-to-one situations
• Respect privacy
• Follow photography and media rules
• Report safeguarding concerns immediately
Mobile Phones & Media
Mobile phone use will follow the rules agreed between LightUp Experience and the participating school.
During activities, participants should:
• Put phones away when instructed
• Avoid using phones during activities requiring attention
• Ask permission before photographing others
• Protect personal information
• Avoid posting inappropriate or sensitive content
• Never publish images of children without appropriate permission
The goal is to help participants remain fully engaged with the people, activities, environment, and community around them.
Respect the Camp
Participants are expected to take care of the camp environment and shared facilities.
This includes:
• Keeping rooms and common areas clean
• Respecting camp property
• Using equipment responsibly
• Following accommodation rules
• Respecting quiet hours
• Disposing of waste correctly
• Protecting the natural environment
Respect the Community
When participating in community activities, students should remember that they are guests.
Participants are expected to:
• Listen to local leaders
• Respect local customs
• Ask before taking photographs
• Avoid behavior that may embarrass or inconvenience community members
• Participate with humility and willingness to learn

AFTER YOUR CAMP
Reflect, Learn & Carry the Experience Forward
A LightUp Experience does not end when participants leave the camp.
Reflection
Participants may be encouraged to reflect on areas such as:
• Teamwork
• Communication
• Leadership
• Responsibility
• Confidence
• Resilience
• Cultural understanding
• Community awareness
• Personal growth
Schools may choose to continue these reflections after returning home.
Feedback
Students, teachers, and partner organizations may be invited to provide feedback about their experience.
This helps LightUp Experience:
• Evaluate programs
• Identify strengths
• Improve future activities
• Understand participant experiences
• Develop stronger future partnerships
Program Reporting & Follow-Up
Depending on the agreed program, schools may receive follow-up information relating to:
• Participation
• Teamwork
• Communication
• Leadership
• Personal growth
• Student strengths
• Areas for further development
Follow-up discussions may also be arranged when appropriate.
Photos & Media After the Program
Participants should continue to respect privacy and safeguarding standards after returning home.
Before sharing photos or videos, consider:
• Whether appropriate consent has been given
• Whether children or community members are identifiable
• Whether personal information is visible
• Whether the image respects the dignity of the people involved
• Whether publication follows school and LightUp media guidelines
